Scorpion Group Inc. ("Woof," "we," "us," or "our") operates the Woof platform and website (collectively, the "Services"). This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use our Services.
Woof acts as a data controller with respect to: (a) personal information collected directly from Business Customers for account registration and management; (b) personal information of website visitors; and (c) usage data and analytics collected through the Platform.
Woof acts as a data processor on behalf of Business Customers with respect to Pet Owner Data collected through the Client Portal and Platform. Business Customers are the data controllers for Pet Owner Data. The terms governing data processing are set forth in the Data Processing terms within the Terms of Service.
When Business Customers register for and use the Services, we collect: account registration information (name, email, phone, business name, business address); billing and payment information (processed through third-party payment processors; Woof does not directly store credit card numbers); business information (services offered, pricing, hours, staff details); and usage data (login history, feature usage, Platform interactions).
When Pet Owners use the Client Portal, the following may be collected on behalf of the applicable Business Customer: personal information (name, email, phone, address); pet information (names, breeds, medical history, vaccination records, behavioral notes, dietary information); booking and transaction history; payment information (via third-party processors); and communications between Pet Owners and Business Customers.
We automatically collect: device information (IP address, browser type, OS); usage information (pages viewed, features used, access times); and data via cookies and similar tracking technologies (see Section 7).
We use information to: provide, maintain, and improve the Services; process transactions and send related information; send administrative communications; analyze usage trends; comply with legal obligations; protect the rights, property, and safety of Woof, our users, and the public; and develop anonymized and aggregated analytics.
We do not sell personal information. We may share information: with service providers and sub-processors who assist in operating the Services; with Business Customers for Pet Owner Data collected through their Client Portal; in response to legal process; to protect rights, property, or safety; in connection with a merger, acquisition, or sale of assets; and with your consent.
We retain personal information as long as necessary to fulfill the purposes for which it was collected. Specific periods: active account data is retained for the duration of the account plus thirty (30) days; transaction records are retained for seven (7) years; usage logs for twenty-four (24) months; and backups may retain data for up to ninety (90) days after production deletion.
Our Services are hosted in [INSERT HOSTING LOCATION]. If you access the Services from outside Canada, your information may be transferred to and processed in Canada or other countries. We implement appropriate safeguards for cross-border transfers, including standard contractual clauses where required.
We use cookies and similar technologies to identify and authenticate users, remember preferences, analyze usage patterns, and improve the Services. You can manage cookie preferences through your browser settings. We use both session and persistent cookies.
We use a third-party product analytics provider for this. On our public marketing and help pages we record only which pages are viewed and where the visit came from, such as a search engine or an advertising link, plus your answer if you choose to tell us whether a help article was helpful. We do not record clicks, keystrokes or screen recordings on those pages, and we do not build a profile of a visitor who has not signed in. Inside the Woof application, where a Business Customer has signed in, we also record which features are used and errors the application encounters, so that we can fix them. Pet owners using a Business Customer's client portal are excluded entirely.
If Woof is involved in a merger, acquisition, bankruptcy, or sale of assets, your personal information may be transferred. We will notify you of any change in ownership by posting a notice on our website or by email.
We implement commercially reasonable technical and organizational security measures, including encryption in transit and at rest, access controls, regular security audits, and employee training. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Depending on your jurisdiction, you may have the right to: access, correct, delete, restrict, or port your personal information; object to certain processing; and withdraw consent where applicable.
Pet Owners should direct data requests to the applicable Business Customer, as the Business Customer is the data controller. If unresolved, Pet Owners may contact Woof for assistance.
Canadian residents have rights under PIPEDA to access and correct personal information and file complaints with the Office of the Privacy Commissioner of Canada.
EEA residents have additional rights under the GDPR, including lodging complaints with a local data protection authority.
California residents have rights including the right to know, delete, and opt out of the sale of personal information. Woof does not sell personal information.
The Services are not directed to individuals under 16. We do not knowingly collect personal information from children. If we learn we have done so, we will promptly delete it.
The Services may contain links to third-party websites or integrations. This Privacy Policy does not apply to third-party services.
In the event of a breach affecting personal information, Woof will: (a) investigate and mitigate; (b) notify affected Business Customers within seventy-two (72) hours; (c) cooperate in notifying affected Pet Owners as required; and (d) notify regulatory authorities as required by law.
We may update this Privacy Policy from time to time. Material changes will be posted with a revised "Last Updated" date. Continued use constitutes acceptance.
