How do I export my sales for my accountant or QuickBooks?

Your bookkeeper does not need Woof; they need one file a month.

Steps

1. Open Insights › Bookkeeping Export.
2. Choose your accounting software: QuickBooks Online, QuickBooks Desktop, Xero, Sage, or a generic CSV. The page tells you where in that software to import the file (QuickBooks Online: Banking › Upload transactions; Desktop: File › Utilities › Import › IIF Files; Xero: Accounting › Bank Accounts › Import a Statement).
3. Choose the period: this or last month, this or last quarter, this year, or custom dates.
4. What's included updates: the period, the number of transactions, total revenue, tax collected, and the payment methods in use. Check them against your own totals.
5. Click Export. The file downloads.

What is in the file

• QuickBooks Online, Xero, Sage: one row per closed invoice with the date, the invoice number, the customer, the payment method and the amount, in that product's bank-import layout. Your accountant categorises them on import.
• QuickBooks Desktop (.iif): a balanced summary general-journal entry for the period: revenue by service type, tips, and tax.
• CSV: a plain summary by service type, tips and tax, for anything else.

Amounts are the invoice totals as closed; refunds appear as negative rows.

Large exports

On a store with many invoices over a long period, the per-transaction file is prepared in the background. The button changes to a progress state and offers the download when the file is ready, usually within a minute. The summary formats are always immediate.

Every month

Set a reminder for the first of the month, export last month, send the file. The numbers here match Daily Close and the Tax Summary report for the same period.
