Woof Help
Guide

What messages does Woof send automatically?

Grow › Automations in Woof is one list of every message that can go out without you: reminders, confirmations, welcome emails, report cards, review requests, rebook nudges, birthday wishes and more. Each row is a switch and a drawer where you set the words and timing.

Every automated message exists exactly once in Woof, with one switch. Grow › Automations is where you turn them on and shape them; Settings › Notifications & Emails is the same list seen as an audit, including the operational sends. The checklist row "Auto-messages" is already ticked when you arrive because the essentials are on.

The list

Grouped the way you will use them:

Essentials (most groomers turn these on first)

  • Appointment Reminders: email and text before each visit, with a confirm link. On by default.
  • Booking Confirmation: sent when a client books online or you approve their request.
  • New online booking alert: an email to you for every online booking.

Before the visit

  • Vaccination Reminders: tells clients a set number of days before a pet's vaccine expires.
  • Profile Completion Nudge: asks new clients to fill in the optional fields before their first visit.

New clients

  • Welcome New Customers: a welcome message when a client joins, with an optional offer.

Keep them coming back

  • Report Cards: the groom summary with photos your groomer sends at check-out.
  • Automated Reviews: the review request after check-out, with your Google and Facebook links.
  • Rebook Reminder: a nudge once a pet is past its usual gap between visits.
  • Fill Open Appointments: offers gaps in your schedule to clients who might take them.
  • Birthday Wishes: a message on the pet's birthday.
  • Loyalty Rewards: points on every visit that turn into credit.

Tools & embeds are set up once on your site or in report cards rather than sent (the booking button, the report-card showcase).

There is also Schedule Updates, which emails your staff their shifts when you publish the week.

How a row works

Each row shows Running or Off and a count of what it sent recently. Open it and you get the drawer: the subject and body with placeholders for the pet's and owner's names, the timing where there is one, extras specific to that message, a Preview of the real email (and text, where there is one), and a button to send yourself a sample. The on/off switch at the top of the drawer saves the moment you flip it, and you see a confirmation; sending yourself a sample does not turn anything on. If a message can't be switched on for your store yet, the switch stays off and the message says why. The words, timing and extras wait for Save Changes, and the next send uses them.

Who they come from

All of them go out with your business name as the sender and replies to your verified address (Send from your own email address). Emails are included in your plan; texts count as segments against the texts your plan includes.

What is not here

One-off campaigns you write yourself are under Grow › Campaigns. The two-way chat with a client is under Messages.
