How do I reschedule or cancel an appointment?

Open the appointment in Woof and click Reschedule or Cancel, or drag it to a new time on the calendar. Both can leave a note on the pet, and clients can do the same from their portal within your cancellation window.

Open the appointment from the calendar or from Today. The footer has the two actions you need.

Reschedule

  1. Click Reschedule.
  2. Pick the new date. The drawer lists the open slots for that service and groomer; choose one, or pick a custom time if you need to place it outside the schedule.
  3. Confirm. The client's appointment moves, and the calendar refreshes.

Dragging the card on the calendar does the same thing in one motion. To change the time, length, groomer or notes without changing the day, use Edit instead. The service itself cannot be changed on an existing appointment: cancel it and book the new service.

Two things happen quietly when the day changes. A "Rescheduled from … on …" note is kept on the booking so the history is visible later, and a visit the client had already confirmed goes back to Unconfirmed, so the next reminder asks them again.

Cancel

  1. Click Cancel.
  2. Woof warns you that the client will be told and that this cannot be undone. Confirm, or Keep Appointment.

The slot is released straight away and the appointment leaves the calendar. A note is written on the pet ("Grooming booking for <date> cancelled on <date> by <you>") so anyone opening the profile later can see what happened. Both notes can be switched off under Settings › Notifications & Emails ("Reschedule log in pet notes", "Cancellation log in pet notes").

If the client simply did not turn up, do not cancel: use Mark No-Show so the visit is counted in your no-show report.

When the client cancels from their portal

Clients can cancel their own upcoming appointments from the portal. Outside your cancellation window it is a normal cancellation and you get an email. Inside the window (the hours you set under Settings › Payment Policies) they must first acknowledge your cancellation policy. Woof then:

  • emails you with LATE in the subject and how many hours' notice they gave,
  • adds an action item to the bell and a row to the Cancellations card on the Online Booking page, where Mark handled clears it once you have decided what to do,
  • writes the pet note with "inside the N h window. Policy acknowledged."

Whether to charge a late fee is your call, exactly as it is for a phone cancellation. Any deposit they paid is refunded when they cancel online.
