How do I book an appointment for a client?
Press N or click New booking in Woof, find the client and pet, pick the service and an open time, and confirm. The same wizard runs from the calendar, Today, a client's profile and any open slot.
Every staff booking goes through one wizard, wherever you start it: the New button in the sidebar (or the N key), New booking on the calendar, Book on an open calendar slot, Book Appointment on a family profile, or the Book an Appointment button on the Booking Flow page. Starting from a slot or a profile pre-fills what you already chose.
Steps
- Click New, or press N The same wizard runs from New booking on the calendar, Book on an open slot, Book Appointment on a family profile, and the Booking Flow page. Starting from a slot or a profile pre-fills what you already chose.
- Choose Book Appointment
- Find the client by name, phone or pet name If they are new, choose + Add "name" as a new client, or New Customer for a walk-in: a first name, a last name and a pet name are enough to book them now, and the rest can wait for checkout.
- Pick the client
- Pick the pet Add Pet creates a new pet on this client without leaving the wizard. A pet that has been set aside never appears in the list.
- Choose the service Add-ons are listed with it and extend the appointment's length. Grooming prices come from your price matrix for this pet's size and coat.
- Pick a day. Woof lands on the first day with an opening Open slots come from your groomers' schedules. Leave the groomer on Any Available, or choose one. If you need a time the schedule does not offer, switch to Custom time (force-book): staff can always place an appointment, the rules apply to online clients only.
- Pick an open time
- Add notes for the groomer, or carry on Internal notes are for your team and the owner never sees them. On a pet's first booking the wizard also adds your questionnaire and waiver, and checks the pet's vaccination records.
- Check the summary and the price If your payment policy asks for a deposit or a card on file, the card step appears here.
- Click Book Appointment
- Booked. The calendar and Today refresh on their own The done screen offers Book another pet, or another visit for the same client.
Things Woof will stop you doing
- The same pet, the same service, the same day. The wizard refuses with a message on the confirm step rather than creating a duplicate. A different service on the same day is fine.
- A pet that has been set aside (passed away or inactive) never appears in the pet list.
After booking
The calendar and Today refresh on their own. Find the appointment on the calendar under the groomer's column; the card shows the pet, service and its status. If the client has no phone or email, no reminder can reach them, so add one from their profile.
No opening on the day they want
Use Join the waitlist on the date step. When a matching slot frees up, Woof offers it to them. The waitlist itself lives under Schedule › Waitlist.
