How do I check a pet in and out?

In Woof, click Check In when the pet arrives, Complete when the groom is done, and Check Out when it goes home, from Today or the appointment. The invoice opens itself at check-in, priced from your matrix, so payment at pickup is one click.

A visit has three moments, and Woof records each one with a button: arrival, finished, and departure. You can do all three from Today or from the appointment on the calendar.

Steps

  1. Find the pet on Today's schedule Today lists every appointment for the store's current day, with colour-coded statuses so the whole team can see what is happening at a glance.
  2. Open the appointment
  3. Click Check In
  4. Confirm the arrival You can confirm the pet's size and coat here, and set a different price for this visit, before the invoice opens.
  5. Woof opens the invoice for the booked service The toast says "Invoice opened" and the appointment shows the amount as Unpaid. The line is priced from your price matrix (the pet's size and coat, or a breed override), or from the service's fixed price. No invoice opens for a package-paid service, an appointment that already has one, or a walk-in with no booking.
  6. When the groom is done, click Complete Grooming This is where grooming notes, before and after photos and the optional report card go.
  7. Leave Notify owner off unless you want Woof to text them Completing marks the pet Ready for Pickup and the client's portal card turns to Ready, whether or not you send anything. The box is off by default because a text costs money and your plan has a daily limit. You can still send it afterwards with Notify Owner, Ready for Pickup.
  8. Click Complete
  9. When the client collects the pet, click Check Out Final Invoice takes you to payment. If Automated Reviews is on, the review email goes out now.
  10. Check Out shows the bill. Complete & Pay takes payment and records the departure The total is the visit's invoice, opened at check-in and priced for the pet's size. Paying is the same window as any invoice, so it has its own article.

Undo

Undo check-in removes the arrival. The invoice that opened stays open; void it from Invoices & Payments if the pet really did not come. Undo on a checked-out pet also removes the arrival stamp.

Checking in a past day

If you forgot to check a pet in yesterday, you still can. A check-in or check-out on an earlier date is stamped at the booked time (you can edit it), and becomes read-only after seven days. No review email is sent for a backdated check-out.

A client who arrives a day early

Check-in opens on the appointment's own day. An appointment on a later date shows "Check-in opens on" that date instead of the Check In button. If a client turns up a day early, click Reschedule, move the appointment to today, then check the pet in as usual.

When no invoice opens

Woof does not open an invoice automatically when the service is paid through a package, when the appointment already has an invoice, or for a walk-in with no booking. In those cases use Create invoice on the appointment or the New button. A family with two pets booked gets one invoice per booking.

What the client sees

If they use the portal, the appointment card on their home page carries a three-step tracker: Dropped off, In progress, Ready. Checking the pet in lights the first two, because nothing in the record separates dropped off from checked in. Ready appears as soon as you complete the groom, whether or not you send a message, so a client watching the portal can see their dog is done without you paying for a text. Notifying them as well pushes it to their phone. Arrival notifications you have turned on go out at check-in.
