How do I track pet vaccinations?

Choose which vaccines your store requires under Settings › Profile Fields, then record each pet's expiry dates on its profile in Woof. Clients can upload proof from their portal for you to approve, and expired records can block online booking and trigger reminders.

Woof tracks one expiry date per pet for every vaccine or treatment your store requires. Those dates drive the status you see on the profile, the reminders that go to clients, the online-booking check and the compliance report.

Choose what you track

Go to Settings › Profile Fields › Health Requirements. Rabies, DHPP and Bordetella are built in and can be switched on per species and marked Required or Optional. Add custom vaccine covers anything else (a titer, a flea treatment, a cat-only vaccine). Requirements only apply to the species you have enabled.

Steps: record a vaccination

  1. Open the client and click the pet's tab.
  2. In the Vaccinations section there is one row per required vaccine, each showing valid, expiring or expired.
  3. Click Update now on the row (or Edit the pet and scroll to the vaccination dates).
  4. Enter the new expiry date and save.

You can also enter expiry dates while adding a new pet, and the free import reads them from your spreadsheet.

Records your clients upload

Clients can attach a vaccination document and the expiry it shows from My Pets in their portal. It does not change the pet's record on its own. It lands on the pet as Client submissions: pending review with a View document link. Approve writes the expiry onto the pet (you can correct the date first); Reject sends it back with a note. Only the date you approved counts, because your store carries the liability, not the client.

What an expired record does

  • On the profile: the pet's tab shows a red count and the family gets an alert banner.
  • Online booking: under Online Booking › Settings › Vaccination records you choose Require valid records (clients with an expired or missing required vaccine cannot book online) or Warn only. Staff booking is never blocked; the booking wizard shows the record status and lets you override it after checking the paperwork in person.
  • Reminders: the Vaccination Reminders automation under Grow › Automations emails the client a set number of days before a vaccine expires (14 by default).
  • Reports: Vaccine compliance lists every pet that is expired, expiring or missing a required record, worst first.

A pet with no species on file

Older records imported from another system sometimes have a breed but no species. Woof works the species out from the breed; if it cannot, it checks the pet against your dog requirements and says so in the booking wizard.
