How do I edit a client's or a pet's details?
Open the family profile in Woof, click the pencil on the owner card or Edit on the pet's tab, change what you need, and save. Nothing is ever deleted; a client or pet you no longer see is set inactive, not lost.
Everything about a household lives on its family profile, and every field on it can be changed from there. Search for the client from the top bar, or open them from the Clients page.
Steps
- Open the family profile.
- To change the owner, click the pencil on the owner card. The Edit Client form opens with their details filled in.
- To change a pet, click the pet's tab, then Edit. The Edit Pet form opens for that pet alone.
- Change what you need and click Save Changes. The profile updates straight away.
What you can change
Owner: name, email, phones, address, emergency contact, how they heard about you, and their preferred way to be contacted. Only the name is required; a phone or email is what lets reminders and receipts reach them.
Pet: name, breed, species, gender, whether they are spayed or neutered, birthday, weight, colour, size band, coat type, allergies, medications, vet details, and the expiry date of each vaccination your store tracks. Any custom fields you added under Settings › Profile Fields appear here too. Upload Pet Photo puts a photo on the pet; it shows on the calendar and on Today.
Fields your store has marked as required show a red asterisk. Save waits until they are filled.
Changing a breed
Start typing and pick the breed from the list. If it is not there, the list offers to add it as a new breed for your store, so you are never forced into "Other".
A pet that has passed away, or a client who has left
There is no delete. Instead:
- A pet can be marked Deceased or set inactive from its tab. It moves to a collapsed Past pets section on the profile, stays on every past appointment, invoice and report card, and never appears in a booking picker again. Reactivate brings it back.
- A client can be marked inactive from the Edit Client form. They stay on file with their history, drop out of your active lists, and stop receiving reminders and marketing.
The rule that matters most: a pet that has been set aside never shows up when someone books. That is what protects a grieving owner from seeing their dog in a dropdown.
Records the client submitted
If a client uploaded a vaccination document from their portal, it appears on the pet as Client submissions: pending review. Approve it to write the expiry onto the pet, or reject it with a note. See Record and track vaccinations.
