What do I do when a pet passes away or leaves?
Open the pet in Woof, click Edit and set its status to Deceased, or Inactive if it has left the family. It moves to Past pets, drops out of every booking picker and every reminder, and keeps all of its history.
The one thing that must never happen is a grieving owner seeing their dog in a "book an appointment for..." list, or getting a birthday email for it. The status on the pet is what prevents that.
Steps
- Open the client and the pet's tab, then Edit.
- Change Status: - Deceased for a pet that has passed away. Woof confirms before saving. - Inactive for a pet that has left the family (rehomed, moved away). - Medical hold for a pet you are pausing but still expect back; it stays bookable and the hold is noted on the record.
- Save Changes.
What changes
- The pet leaves the pet list and moves to Past pets at the bottom of the profile (Deceased shows there; Inactive is hidden from the client's portal entirely).
- It never appears in a booking picker, staff or client side, and gets no reminders, birthday wishes, rebook nudges or vaccination alerts.
- Every past appointment, invoice and report card still shows the pet; history is untouched.
- The client's portal shows a quiet Past pets section for a deceased pet, with the report cards and photos still there. No memorial styling, no language they did not choose.
A mistake
Reactivate on the Past pets row puts the pet back exactly as it was.
When the whole family leaves
Marking the client inactive sets their pets aside too, so a departed family stops receiving anything. Reactivating the client does not automatically bring the pets back; reactivate the ones you want.
