How do I add a groomer or staff member?
Go to Settings › User Accounts in Woof, click + Invite user, pick a role, tick the services they do, and choose whether they get an email login, a clock-in PIN, or both. The invitation tells them how to sign in.
Go to Settings › User Accounts. Every person who works with you is one record there, whatever mix of logging in, appearing on the calendar and clocking in they need.
Steps
- Click + Invite user and enter their name.
- Pick a role (below).
- Tick the services they perform. A groomer who also walks dogs is one person with two services, and appears on the calendar for both.
- Choose their access: an email login (Woof sends an invitation with an activation link), a clock-in PIN for the time-clock kiosk, or both.
- Save. The invitation email tells them their username and the account code they will type on the Team tab of the sign-in page.
Roles
| Role | Who it is for | What they see |
|---|---|---|
| Admin | Owner or manager | Everything, including Settings, Reports and Team |
| Front Desk | Reception, day-to-day operations | Today, the calendar and bookings, clients, payments and messages. No Settings or Reports. |
| Groomer / Trainer | Service staff | Today and their own schedule, locked to their column. Not other groomers' days, clients or money. |
| Clock In / Out | Kiosk-only | No web login at all; a PIN for the time clock. |
One role per person. Managers use Admin; there is no separate manager role.
Groomers see less on purpose
A groomer's calendar is their own column, relabelled My Schedule. If a groomer reports that "half the menu is missing", that is the role working as designed, not a fault. Give them Front Desk if they genuinely need to book for others.
Changing or removing access
Open the person and change their role, services or access at any time. Removing the email login keeps the person (and their calendar history) and only takes away the sign-in.
