What does my booking page look like to clients?
Your Woof booking link opens a small client site: a storefront with your services and hours, a sign-in by email or phone code, the booking flow, and a home page with their appointments, pets, invoices and a message thread with you. Preview it from Schedule › Online Booking.
The link you share opens the same portal for every client. To see it yourself, open Schedule › Online Booking › Preview and click Open in new tab.
The booking page
Your logo, cover photo, brand colour and message sit at the top, with Open now or Closed from your business hours. Until you add a logo, clients see your initials on your brand colour in its place, and the Preview tab reminds you where to add one. The browser tab and a phone home-screen shortcut show the same mark: your logo if you have one, otherwise your initials. If a client opens a booking link with a typo or an old business name, they see a Woof page saying the link could not be found, showing the address they tried, and asking them to check it with you; so if you ever change your booking link, send clients the new one. If the page cannot load at all, for example on a dropped connection, clients get a Try again button instead, never a message that your business does not exist. Below: the services clients can book, each with its length and the price for a pet's size, your booking and cancellation policies, contact details, your social links, and, if you have turned it on, the public reviews clients left you. Book starts the flow. Your booking page is not listed in Google or other search engines, so clients reach it through the link you share, your website or your reminders.
Signing in
There are no passwords to remember. A client enters their email or phone number and receives a code. A first-time client creates their account as part of their first booking. Returning clients stay signed in on their device, and Book takes them straight into the booking rather than asking them to sign in again. A client who does sign in from Book lands on the booking, with the service they tapped already picked.
Booking
Pick a pet, pick a service and add-ons, pick a day and time from the real openings (your rules for notice and advance booking applied), and add a note. On a pet's first booking the client also fills in your questionnaire and signs your waiver. If a required vaccination is expired, the client is either warned or stopped, depending on your setting. If you require a deposit or a card on file, the card step appears here. At the end they see either Booking Confirmed or Request Submitted, depending on whether you review requests. If nothing is open, they can join your waitlist.
Home
The home page opens on today's appointment, if there is one. Before the visit it reads Confirmed; once the pet is checked in, a three-step tracker shows Dropped off, In progress and Ready. Checking in lights the first two together, and Ready appears when your staff notify the owner that the pet is ready for pickup, which they can do from the appointment at any point. Under it: Your Schedule (upcoming visits, each with a cancel option that respects your cancellation window), Past Visits with Rebook, the report card and the receipt, an alert with Pay Now if an invoice is unpaid, and quick actions to book or message you. If any of their pets is missing a record you require, or its record has lapsed, a card says so and names up to three of them. It counts only what would actually stop a booking, so it is quiet unless there is something to do, and it is the same check the booking flow itself applies.
My Pets
A card per pet with breed, age, weight, colour and a photo, plus the pet's vaccination status: which of your requirements are missing, expired, expiring soon, or waiting with you for review. Clients can add a pet, edit its details, and upload a vaccination document with the expiry date, which you approve before it counts. A pet that has passed away sits in a quiet Past pets section and cannot be booked.
Getting around
Along the bottom on a phone: Home, My Pets, Book, and Shop if you sell retail online. Top right, on every page: a chat icon and an account icon. On a computer both sit in the top bar instead, and there is no bottom row.
Chat is up there rather than inside Account because the moment a client wants to ask you something is usually the moment they are part-way through something else. It opens the same thread it always did, so the "Message us" link in your reminder emails still lands in the right place.
The chat icon carries a red count when you have replied and the client has not read it yet, on every page of their portal, not only inside the conversation. It clears the moment they open the thread.
Account
Profile (their contact details), Invoices (every invoice, paid online with a card, Apple Pay or Google Pay, no login needed from the emailed link either), Messages (the same two-way thread the chat icon opens), cards on file and any account credit.
Reminders lead back here
The confirm link in your appointment reminders opens a page that confirms the visit, shows the details, and offers "Cancel or rebook" and "Message us", both of which land the client in this portal.
When online booking is paused
If you switch online booking off, or your free trial ended before you added a card, clients see Booking paused on your booking page and in the portal: no times are offered, new clients cannot sign up, and the page asks them to call you. Existing clients can still sign in, see their pets and cancel appointments. Adding a card, or switching online booking back on, opens it again straight away.
Thanks for letting us know.
