How do I create an invoice?
In Woof, press N or click New and choose Create invoice, pick the pet, add services and products, apply any discount, and either collect payment now or email the invoice with a pay link. Most invoices open themselves at check-in, so you create one by hand for walk-ins and extras.
When you check a pet in, Woof opens its invoice for you. You create one by hand for a walk-in, a retail sale, or anything that did not start as a booking. Start from the New button (or press N) and choose Create invoice, or click New Invoice under Money › Invoices & Payments.
Steps
- Click New, or press N You can also click New Invoice under Money › Invoices & Payments. Most invoices open themselves at check-in, so you create one by hand for a walk-in, a retail sale, or anything that did not start as a booking.
- Choose Create Invoice
- Search for the pet by name, owner or phone Walk-in Customer creates the client and pet on the spot; New Customer & Pet opens the full form. A second pet from the same family can go on the same invoice.
- Pick the pet
- Choose the service Every pet on the account appears as its own card, and the pet you searched for opens with its services ready to pick. Type in the search box to narrow the list, and the services you use most sit under Recent at this store. A pet can have more than one service: Add another service puts the next one on the same pet. Products from your inventory go under Retail.
- The service lands on the pet, priced for its size Tap any amount, an add-on's included, to set a different price for this visit. A line with no price set up reads Set price. Add-ons for the service sit right under it. One discount goes on the whole invoice, from + Add a discount in the totals, with a reason or one of your coupon codes. Tax comes from your Invoice & Tax settings and applies to the taxable items.
- Check the total The invoice date is today. On a computer the payment panel stays beside you as you scroll, showing the amount due and any line still waiting for a price.
- Save it as an open invoice, or collect payment now Collect Payment & Close opens the payment modal, where deposits, split methods and card payments live. Email Invoice sends the client a link they can pay from without logging in.
- Done. The invoice is waiting under Money, Invoices and Payments Saving lands you on that list, with the new invoice expanded. Each one can be edited, paid, emailed or printed from there. Deleting an unpaid invoice removes it permanently; nothing has been charged.
More than one service, or more than one pet
Every pet on the account has its own card on the invoice, so a second dog is already there: choose + Add a service on its card. One pet can have several services on the same invoice, a bath and a day of daycare for example. Add another service under a pet adds the next one, and each service keeps its own add-ons. Remove a single service with the x on its line, or every service for a pet with the x on the pet's card.
A service fills in at that pet's price: a price you saved for the pet if there is one, otherwise the price for the pet's size in your price matrix, plus its coat surcharge. The pet's card shows the size it priced from, so a pet with no size set is easy to spot. Every amount on the invoice can be tapped to change it for this visit, the add-ons' too. A service with no price set up reads Set price until you give it one, and the payment panel counts how many lines still need a price.
A discount
+ Add a discount, in the totals or beside the amount due, takes one discount off the whole invoice: an amount, or a percentage that the editor turns into an amount as you type. Add a reason, or tap one of your coupon codes to use it as the reason. A code goes in as the reason only: type its discount yourself. See Coupon codes and discounts.
Products
Products go under Retail, below the pets: Add a product lists the ones you sold most recently, then every product, and the search narrows it by name, brand or SKU. See Sell products on an invoice.
Numbering
Invoice numbers count up per store and are never reused. You can change the prefix and starting number under Settings › Invoice & Tax.
A draft you do not need
Deleting an unpaid invoice removes it permanently; nothing has been charged. An invoice that was opened by check-in and never used can be deleted the same way from Invoices & Payments.
Where invoices live afterwards
Money › Invoices & Payments lists every invoice as Unpaid, Paid or in History, with the customers who have more than one unpaid invoice grouped at the top. Each one can be edited, paid, emailed or printed from there.
