How do I take a payment on an invoice?
Collect Payment in Woof opens a window with one tile per payment method you accept: pick one, add a tip, add a second payment if they are splitting, and close the invoice. Or email a pay link and let the client pay by card themselves.
There are two ways to get paid: at the counter, or by a link the client pays online. Both close the same invoice.
At the counter
- Open the invoice: Collect Payment & Close on a new invoice, Final Invoice on the appointment, or the invoice's row under Money › Invoices & Payments. On a computer, the payment panel on a new invoice stays beside you as you scroll, with the amount due, any line still waiting for a price, and + Add a discount.
- Choose a payment method tile. Cash is always there; the others are whatever you switched on under Settings › Payments (debit, Visa, cheque, e-transfer, and any you added). When Woof Pay is set up you also get Card · Woof Pay for a card entered now, and Card on file for a client with a saved card. Account Credit and Loyalty Points appear when the client has some to use.
- Enter the amount (it defaults to the balance) and any tip, then Add Payment. For a split, add a second payment with another method; the balance updates each time.
- Click Close Invoice, or Close Invoice & Print Receipt. Send Receipt emails it. The appointment flips to Paid on the calendar and Today.
Cash payments show the change due. A card paid through Woof Pay is charged immediately and the invoice records the card and approval.
By link
Email Invoice sends the client a link to the invoice. It opens without a login: they see the invoice, pay with a card, Apple Pay or Google Pay, choose a tip from the presets, and can save the card for next time. A client with a card on file pays in one click. The same invoice appears under Invoices in their portal with Pay Now.
Cards need Woof Pay
Card tiles, card on file and pay-by-link all run through Woof Pay. Until it is set up, card payments taken on a separate terminal are recorded with the method you named for them (for example "Card (POS)"). See Set up card payments (Woof Pay).
A pay link still opens and still shows the invoice before Woof Pay is set up, but with no card form and no Pay button: the client can read it, print it and see what they owe, and you take the payment the way you take your others.
Afterwards
Every payment is on the invoice under Money › Invoices & Payments, and the day's takings by method are on Daily Close. Refunds and adjustments are made from the invoice.
