How do I set a cancellation or no-show policy?
Settings › Payment Policies in Woof holds the rules clients see and Woof applies at online booking: card on file, deposits, and your cancellation window. The no-show fee section records your policy for now; charging it is still a manual step.
This page is where a client's booking becomes a commitment. Read it in two halves: the rules Woof enforces today, and the ones it records so they show correctly on your booking page and confirm page.
Enforced at online booking (needs Woof Pay)
- Require card on file: every online booking saves a card first.
- Deposit: none, first-time clients only, or all bookings, with the amount. Charged when the booking is confirmed; refunded if the client cancels online. Take deposits at booking.
The cancellation window
Shown here, set on Schedule › Online Booking › Settings › Availability & Rules. Inside the window a client can still cancel online, but must acknowledge your policy first, and the cancellation reaches you flagged as late with the hours of notice they gave.
Recorded, applied by you
No-Show & Late Cancellation lets you state what happens: no penalty, forfeit the deposit, forfeit plus a fee, or a fee (flat or a percentage). Charge automatically and No-Show Strike Tracking (flag repeat offenders after N strikes, block their online booking, clear strikes after a run of good visits) are saved with your policy, but Woof does not charge a card or block a client on its own yet. Today the fee is your decision, taken from the card on file through the payment window, or added to their next invoice. The policy text you set here is what clients see on the booking page, so it is worth setting even before the automatic part exists.
Saving
The page saves through the Save changes pill when anything is dirty. The receipt line at the bottom is true: any charge you make through Woof Pay sends the client a receipt.
